Client retention is the key to doubling your net profit.

Renewals are where your agency's revenue is protected or lost. Insure AMS builds a structured renewal management process on HubSpot that treats every renewal as a sales opportunity, tiers clients by value, and gives your team and your agency owner real-time visibility into retention as it unfolds.

How we think about renewals

Renewals are deals. Policies are the work inside them.

Are you managing renewals as tasks? We manage them as deals, which changes what you can see, what you can automate, and what your team is accountable for.

The renewal is the deal.

Each client renewal lives in HubSpot as a deal. It has a stage, an owner, a timeline, and an outcome. The renewal deal represents the relationship being renewed, not just a single policy. This is what gives you visibility at the client level, not just the policy level.

The deal moves through your renewal pipeline the same way a new business deal moves through your sales pipeline. It is visible, trackable, and reportable at every stage from first outreach to final outcome.

The policies are the work inside the deal.

Each policy attached to the client is a sub-task within the renewal deal. Auto, home, umbrella, commercial lines, life: each one is tracked individually. Your team works through the policies as a checklist inside the renewal deal.

This structure matters. A client with four lines of business is four policy outcomes tracked against one renewal deal. You see the client relationship renewing, not just individual policy transactions moving through separate queues.

The engine behind accurate renewals

Renewals are only as accurate as the policy data behind them.

A renewal process built on outdated or incomplete policy data produces inaccurate outreach, missed coverage gaps, and retention conversations that start from the wrong place. Accurate renewal management depends on policy data that is current, reviewed, and ready to act on.

Automated policy review on every update.

Every policy goes through an automated review each time it is updated and on other important dates in the policy lifecycle. The review checks that the data is complete, current, and consistent with what the renewal process needs to function correctly. Nothing waits for a manual audit.

Current data drives every downstream process.

Tiering, outreach timing, survey triggers, retention dashboards, and real-time policy outcomes all depend on having accurate policy data at the foundation. The automated policy review is what keeps that foundation current so every part of the renewal process runs on information you can trust.

Personal Insurance · Client tiering

Simple tiers. Every agent knows why every client is where they are.

We tier clients using lines of business, total premium, and premium increase thresholds. The tier determines the level of renewal activity allocated to that client. We keep the model simple on purpose: every person in your agency should be able to look at a client and understand their tier without asking anyone.

VIP

Highest value clients. Highest touch.

Multiple lines of business, high total premium, or clients whose loss would materially impact your book. VIP clients receive the most proactive renewal activity: early outreach, a dedicated renewal review, and hands-on account management throughout the cycle.

Gold

Strong relationships. Structured attention.

Valuable multi-line clients with good premium who are not yet at VIP threshold. Gold clients receive structured renewal outreach with enough touchpoints to confirm the relationship and surface any changes in their situation before renewal.

Silver

Solid book clients. Efficient renewal process.

Single or dual-line clients with stable premium. Silver clients move through a streamlined renewal process with automation handling the outreach cadence and agents stepping in where a response or change requires attention.

Bronze

Entry-level clients. Mostly automated.

Newer or lower-premium clients whose renewal process is handled primarily through automation. Bronze clients receive the appropriate outreach at the right time, with agents involved only when a response requires it.

Tiering criteria are set by you. Premium thresholds, line counts, and increase limits that qualify a client for each tier are configured to your book and your standards. The system runs the classification automatically.

Personal Insurance · Annual insurance review

The renewal conversation is also a growth conversation.

Every client is sent an annual insurance review, timed to their most important policy. A survey goes to the client asking about life changes, business changes, and coverage questions. The responses surface cross-sell and up-sell opportunities for your renewal agents before the renewal conversation even starts.

Survey

Annual review sent automatically, timed to the most important policy.

The annual insurance review survey goes out automatically, timed to the client's most important policy rather than an anniversary date. Clients answer questions about what has changed in their lives or businesses since the last review. Life events, new assets, business changes, new employees: the survey surfaces what a phone call might miss.

Opportunities

Survey responses drive cross-sell and up-sell conversations.

Responses feed directly into HubSpot. Agents see what the client said before they pick up the phone. A client who mentioned a new home, a new vehicle, or a growing business is a client with an open conversation waiting. The renewal becomes a growth touchpoint, not just an administrative one.

Consistency

Every client gets the review. Every year. Without fail.

Because the review is automated, it does not depend on an agent remembering to send it or having capacity to follow up. Every client in the book, at every tier, receives the review on schedule. The quality of the renewal conversation goes up across the entire book, not just for the clients someone remembered to call.

Commercial Insurance Renewals

Commercial clients are different. The renewal process reflects that.

Commercial renewals are not tiered the way personal lines are. Instead, we build separate renewal processes based on the size of the business and the premium involved. Larger, more complex accounts get a more managed process. Smaller commercial accounts move through a streamlined workflow that still gives them appropriate attention at renewal time.

Small Commercial

Efficient renewal with the right touchpoints.

Smaller commercial accounts move through a structured but streamlined renewal process. Automation handles the outreach cadence. The annual business review survey goes out on schedule. Agents step in when a response surfaces a change or when the account is approaching renewal and has not confirmed.

Mid-Market

More complexity. More structured attention.

Mid-market commercial accounts typically carry more lines, more stakeholders, and more exposure. The renewal process for these accounts is more structured: earlier outreach, a more thorough review conversation, and dedicated account management through the renewal cycle. The annual survey is the starting point, not the only touchpoint.

Large Accounts

Managed renewal with full account coordination.

Large commercial accounts get a fully managed renewal process. Account managers coordinate across all lines of business, track every policy outcome, and ensure that nothing moves to binding without complete review. The renewal is a major account event, not a scheduled task.

Commercial Insurance · Annual business review

Commercial clients need a different kind of annual review.

We conduct a once-a-year renewal survey for commercial clients focused on changes that impact their business and their insurance needs. Business growth, new locations, new employees, equipment additions, changes in operations: these are the events that change coverage requirements and create new opportunities for your account managers.

  • Annual survey sent automatically, timed to the most important policy
  • Questions focused on business changes since last renewal
  • New locations, headcount, equipment, and operational shifts
  • Revenue and payroll changes that affect existing coverage limits
  • New exposures not covered under current policies
  • Responses reviewed by account managers before the renewal conversation
  • Survey surfaces cross-sell and up-sell opportunities specific to commercial lines
  • Every commercial client reviewed annually without relying on the agent to remember
Real-time retention visibility

Agency owners know what is happening to their retention before the month ends.

Policy outcomes are updated in real time by your renewal agents. Every policy that renews, cancels, moves to a competitor, or lapses is recorded as it happens. The agency owner sees premium retention live, not in a report two weeks later.

  • Renewal deals updated in real time by agents
  • Policy outcomes recorded as they happen, not at month end
  • Premium retention visible in the dashboard at any moment
  • At-risk renewals surfaced before they are lost
  • Cancellations and competitor moves tracked immediately
  • Retention rate visible by tier, by producer, and by line
  • Owner and manager dashboards updated without waiting for a report
  • Early visibility means early intervention on at-risk accounts
